Google Drive Rollout

Project Description:
In the coming weeks we will be rolling Google Drive out to all of our people, enabling you to create, collaborate, and share documents easily with anyone at Mosaic. Drive allows you to have multiple people work on the same document, spreadsheet, or presentation at the same time, and makes sharing it quick and easy. 

Why:
(1) Drive allows for easy and controlled sharing of content, which improves both ease of use and security
(2) Drive is free with our Google relationship and eliminates the need for costly Microsoft products

Key Activities:
  • Consolidate Google training and Mosaic specific training on how to use Drive, as well as our policies and procedures (e.g. what to store what/where)
  • Create a communications plan to engage with leadership to customize and control rollout
  • Enable drive for users, according to plan
  • Train and support users during onboarding

  • Training documentation
  • Drive enabled for all people

  • All employees
Key Stakeholders:
  • IT - support for rollout, training on policies and procedures, compatibility with existing documents.
  • Executive Directors - help communicate and enforce policies and procedures regarding information classification
Key Dates:
A pilot was run in December, 2019.

Google Drive enabled for all users in Nebraska, Iowas, Kansas, Indiana, and Illinois on Jan 13, 2020.

Google Drive enabled for all users in Colorado, Arizona, Connecticut, Delaware, and Wisconsin on Jan 27, 2020. 

IT will follow up with leadership to get feedback on experience and next steps in February 2020.
